Position
The purpose of this call for applications it to create a pool of qualified candidates that are interested in employment at the EUDA in the role of administrative assistant (contract agent, function group II). Successful applicants will be considered for future vacancies as they arise.
The Administrative assistant will provide administrative support and will carry out secretarial duties in various administrative processes, responding to the priorities of the EUDA.
Eligibility requirements
General requirements
- Be a national of one of the Member States of the European Union, Norway or Türkiye;
- Have fulfilled any obligations imposed by the laws concerning military service, if applicable;
- Produce the appropriate character references as to the suitability for the performance of the required duties;
- Be physically fit to perform the duties of the post.
Education requirements
- Have a level of post-secondary education attested by a diploma, or
- A level of secondary education attested by a diploma giving access to post-secondary education, and appropriate professional experience of at least three years.
Language requirements
- Possess a thorough knowledge (mother tongue or minimum level C1) of one of the official languages of the European Union and,
- a proven satisfactory knowledge (minimum level B2) of another of these languages to the extent necessary for the performance of the required duties.
Essential requirements
- At least three years of professional experience in an administrative or secretarial role, or a role relevant to the profile described above.
- Proven experience in managing agendas and coordinating appointments for one or more hierarchical superiors.
- Proven experience in drafting minutes and high-level correspondence.
- Proven experience in assisting in procurement and financial procedures for the organisation of meetings, conferences, training sessions, supply services and other related activities.
- Proven experience in organising missions, internal and external meetings or conferences, processing expense claims, making travel and accommodation arrangements and assisting in the planning and development of budget estimates.
- Experience in digital tools and technology, with the ability to adapt to new software and systems.
- Excellent communication skills in written English.
